Privacy Policy
In short: your voice is turned into text to run each practice session and to write your notes. We keep your email, your subscription status a short record of each session (never what you said), and any problem report you choose to send us. We don't keep recordings, transcripts, notes or the job descriptions you add on our servers, and we don't sell or share your data for advertising. We do keep interview questions written for a job, reworded so they name no company or person and not linked to you, to improve our question bank.
Who we are
This policy describes how Offmute ("we", "us"), a workplace English practice app based in Vietnam, handles your information. For privacy questions or requests, contact [email protected].
What happens when you practice
A session (an interview or a meeting) works by voice, so it needs your speech:
- Your voice is streamed from the app to our server while a session is running, and passed to OpenAI to be turned into text.
- The text of the conversation is sent to Anthropic (Claude) to write what the other people in the room say. Their lines are turned into speech by our text-to-speech provider (OpenAI, or ElevenLabs if we switch).
- Your notes after a session are written by sending the text of that session, once, to our server and on to Anthropic.
- A job description you type, paste or upload for an interview, and a meeting you describe, are sent to our server and on to Anthropic to plan the session: the job's title, focus and interview questions, or the meeting's agenda. If you upload a PDF or Word file, our server reads the text out of it and sends that text back to the app; a long one is shortened by Anthropic first. The file itself is not kept.
Our server handles this in memory. It does not store your recordings, transcripts, notes, job descriptions, meeting descriptions or files. Under their API terms, our AI providers do not use this data to train their models by default, and may keep it for a limited time for safety and abuse monitoring: see the OpenAI, Anthropic and ElevenLabs policies.
What stays on your phone
Your notes, the meetings you picked, your level, the last job description and meeting description you wrote, and which bank questions you've already been asked are stored only on your device. Signing out, deleting your account or deleting the app deletes them.
Improving our interview questions
Most interview questions come from our own question bank. When the bank has too few for a job, Anthropic writes the missing ones for your session, along with a general version of each that names no company, product or person. We keep only that general version, after removing any that still name the company or contain an email address, link or phone number, so we can review it and add the good ones to the bank for everyone. We also keep a short record of each job description read: the kind of job, interview round and level, how many questions came from the bank and how long it took, and, when the bank fell short, the skills the job asks for from our fixed list (such as "kafka" or "playwright"). None of this is linked to your account or holds the text of your job description, so it can't be traced back to you and isn't deleted with your account.
Your account
- Your email address, to sign you in with a one-time code. Accounts are stored with Supabase.
- A record of each session: which kind of meeting it was, when it started, how long it ran, how many turns it had, why it ended and what it cost us to run. It never contains what you said. We use it to count your free sessions and your daily minutes, and to see what the service costs.
- Your subscription status: whether you have an active plan and when it ends.
- Problem reports you send from the app (Report a problem): the reason you picked, what you wrote, and which session it was about. We read them to fix what the AI says. They are linked to your account and deleted with it.
What our server logs
Technical logs: when a session started and ended, timings and errors. They never contain what you said. Your IP address is used to limit how many requests one device can make. Logs are kept only as long as our hosting provider (Railway) keeps them, and no longer than we need to run and secure the service.
Payments
Subscriptions are sold by Apple (App Store) and Google (Google Play), which handle your payment details and receipts under their own privacy policies. We never see your card. We use RevenueCat to check purchases: it receives your account's ID (not your email) and your purchase history from the store, and tells our server whether your subscription is active.
Emails
If you leave your email on our website to hear when the app launches, we use it only for that, and you can ask us to remove it at any time.
What we don't do
- No advertising, no tracking or analytics SDKs in the app.
- We don't sell your data or share it for advertising.
Children
is meant for people preparing for and working in jobs. It is not directed at anyone under 16.
Where your data goes
Your account and session records are stored with Supabase in Sydney, Australia. Our backend is hosted on Railway. Our AI and payment providers may process information in other countries, including the United States, under their own policies. Your information may therefore be processed outside Vietnam.
Your rights
You can delete your account at any time in the app (Account → Delete account). That deletes your email, session records, subscription status and problem reports from our account database, and the notes on your phone. We also request deletion of your RevenueCat customer record; if that request fails, we follow up separately. Apple, Google and other providers may retain records under their own policies and legal obligations. Deleting your account doesn't cancel a store subscription: cancel it in your App Store or Google Play settings. You can also ask us what we hold about you, or ask us to delete it, at . The steps are also on our account deletion page.
Changes
If we change how we handle your data, we will update this page and its date. Big changes will be announced on our website before they apply.
